This project focused on enhancing publication efficiency and team collaboration through the development of an all-in-one tool for daily tasks in an online content management system (CMS). By addressing challenges such as overwhelmed users with different software, simultaneous updates, and the need for role-based administration, the project aimed to streamline workflows. The implementation resulted in a 53% improvement in publication speed, efficient team workflows, and analytics interfaces for stakeholders, providing insights into user activities. The design system adopted atomic design principles, ensuring flexibility and scalability for future expansion.

Context

The project originated from the need to streamline digital content publication and team collaboration. Facing challenges of varied software use, simultaneous update issues, and lack of a unified platform, the goal was to create an all-in-one tool within a content management system. The project aimed to enhance publication speed, optimize team workflows, and offer analytics for stakeholders. Embracing a flexible design system, it sought to ensure scalability and adaptability for future expansions.

My Role

I was leading 0-1 creation of CMS for online media project. My role involved collaborating closely with creators to understand their needs and preferences, conducting user research to gather insights into user behavior, and creating prototypes to visualize the CMS platform's structure and functionality. Additionally I was working closely with development team to build interfaces that fitted our needs and created scalable project architecture for future updates. On top of that it was crucial to prepare comprehensive project documentation to help creators with onboarding. Lastly it was my responsibility to test and prepare product for lunch.

Throughout the project, I was relying on user interviews results and live observing of their working process to understand their stories in different scenarios and tech team feedback on prototypes to build realistic vision of the final product. To keep the process straight (doesn't mean linear) I was documenting all the insights iteratively, and shaping the interfaces and entire system to come up with realistic solution. It was exciting journey with several pivotal moments to get things ready for lunch and tune up after.

The project faced several challenges. Users struggled with multiple software tools, leading to inefficient work transfer. Simultaneous updates caused numerous errors, requiring extensive corrections. Absence of role-based administration disrupted workflows, and inadequate analytics hampered stakeholder monitoring.

Solutions Implemented

To overcome these challenges, we adopted a comprehensive strategy. We developed a unified all-in-one tool to simplify user experience and reduce reliance on multiple software. Implemented change control mechanisms minimized errors caused by simultaneous updates. Introducing role-based administration ensured smoother workflow management. Integrated robust analytics interfaces offered stakeholders valuable insights. These solutions enhanced collaboration and efficiency in digital content management.

Conclusion

The project's redesign of our digital content management system successfully streamlined publication processes, reduced errors, and enhanced collaboration. The introduction of an all-in-one tool, role-based administration, and robust analytics has significantly improved efficiency. With a 53% increase in publication speed and a flexible design system for future innovations, the project marks a successful transformation towards a more user-friendly and collaborative digital workspace.
